1. Who we are

SHIVNETRA COMPUTERS PRIVATE LIMITED ("we", "us", or "our") operates the website at echohire.in and the EchoHire AI hiring platform (collectively, the "Service"). EchoHire is a product of SHIVNETRA COMPUTERS PVT LTD. Our registered office is in Gurugram, Haryana, India. You can reach us at contact@echohire.in.

2. Scope of this policy

This policy explains how we collect, use, share, and protect personal data when you visit our website, sign up for a trial, book a demo, or use the EchoHire platform as an employer or candidate. It applies to all data subjects whose personal data we process, including visitors, registered users, HR teams, and job candidates.

3. Data we collect

3.1 Data you provide directly

  • Account registration: name, work email address, company name, job title.
  • Demo and trial forms: name, work email, company, phone number (optional), and message.
  • Candidate data uploaded by employers: CVs, cover letters, interview responses (text, audio, video), and assessment results.
  • Communications: emails, support tickets, and feedback you send us.

3.2 Data collected automatically

  • Log and usage data: IP address, browser type, pages visited, referring URL, and session duration.
  • Device identifiers and cookies (see Section 8).
  • Analytics events via Google Analytics 4 and Google Tag Manager.

3.3 Data from third parties

  • ATS and HRIS integrations (Lever, Greenhouse, Zoho Recruit, Darwinbox) when you connect them to EchoHire.
  • LinkedIn or other OAuth providers if you use social sign-in.

4. How we use your data

  • Service delivery: To operate the EchoHire platform, process resume screening and AI interview evaluations, and generate candidate reports.
  • Account management: To create and maintain your account, authenticate you, and send transactional emails.
  • Customer support: To respond to enquiries and resolve issues.
  • Product improvement: Aggregated, anonymised analytics to understand feature usage and improve the Service.
  • Marketing (with consent): To send product updates and newsletters where you have opted in. You may unsubscribe at any time.
  • Legal compliance: To comply with applicable law including the Digital Personal Data Protection Act 2023 (DPDP Act), GDPR where applicable, and court or regulatory orders.

5. Legal basis for processing (GDPR / DPDP)

  • Contract performance: Processing necessary to deliver the Service you have contracted for.
  • Legitimate interests: Security, fraud prevention, product analytics, and direct marketing to existing customers.
  • Consent: Marketing emails, cookies beyond strictly necessary, and processing of sensitive data where required.
  • Legal obligation: Where we are required by law to retain or disclose data.

6. Data sharing and disclosure

We do not sell your personal data. We share data only in the following circumstances:

  • Service providers: AWS (hosting and storage), Resend or similar (transactional email), Google Analytics (web analytics), and other sub-processors listed in our Data Processing Agreement (available on request).
  • Employer–candidate relationship: Candidate data is shared with the employer who initiated the hiring process. Employers are data controllers for candidate data they upload or collect via EchoHire.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, subject to standard confidentiality obligations.
  • Legal requirements: Where required by law, regulation, or court order.

7. Data retention

We retain personal data for as long as necessary to deliver the Service and comply with legal obligations. Candidate data is retained for the period configured by the employer (default: 12 months from last activity) and then deleted or anonymised. Account data is retained for the duration of the subscription plus 30 days, after which it is purged on request. Audit logs are retained for 12 months.

8. Cookies

We use the following categories of cookies:

  • Strictly necessary: Required for authentication, security, and core platform functionality. Cannot be disabled.
  • Analytics: Google Analytics 4 cookies that help us understand website usage. You may opt out via your browser settings or the Google Analytics Opt-out extension.
  • Marketing: Set by Google Tag Manager for conversion tracking. Only activated with your consent.

You can manage cookie preferences via your browser settings. Note that disabling cookies may affect Service functionality.

9. International data transfers

EchoHire is headquartered in India. Data may be processed by our sub-processors in countries outside India. Where transfers occur to countries not recognised as providing equivalent protection, we rely on Standard Contractual Clauses or equivalent safeguards. India data-residency options are available for eligible customers — contact us for details.

10. Your rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Request deletion of your personal data ("right to erasure").
  • Object to or restrict certain processing.
  • Data portability (receive your data in a machine-readable format).
  • Withdraw consent at any time (where processing is consent-based).
  • Lodge a complaint with a supervisory authority.

11. Security

We implement appropriate technical and organisational measures to protect personal data, including AES-256 encryption at rest, TLS 1.3 in transit, role-based access controls, and regular security reviews. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.

12. Children

The Service is not directed to children under 18. We do not knowingly collect personal data from minors. If you believe we have inadvertently collected such data, please contact us and we will delete it promptly.

13. Changes to this policy

We may update this policy from time to time. Material changes will be communicated by email (for registered users) or by posting a notice on our website at least 14 days before the change takes effect. Continued use of the Service after the effective date constitutes acceptance of the revised policy.
